We encourage you to read our Privacy Policy below to understand in detail how we will use your personal data and the rights you have in relation to it.

The present Privacy Policy sets out all the information relating to the data processing carried out by Laboratorios Farmacéuticos Rovi, S.A. (hereinafter "ROVI") of personal data collected through any of the web pages hold by ROVI in connection with scientific and professional meetings and events (hereinafter referred to as the "Web Page"), with regard to the interaction that each user has with ROVI.

A User (or Users) shall be understood as any person who accesses, browses or uses any of the functions available on the Web Site.

Attendee shall be understood as any person who attends or participates in the events organised by ROVI, whose registration and/or attendance is carried out through the Web Page.

The DPO is provided for by law and has the main functions of informing and advising the entities on the personal data obligations to which they are subject and supervising compliance therewith. Furthermore, the DPO acts as a point of contact with the entities for any issue concerning personal data processing and, therefore, if you so wish, you may contact them.

  1. What personal data do we process?

ROVI processes the data provided by Users and Attendees (hereinafter "Users" or "Users" without distinction) through the various forms and channels set up on the web page hold by ROVI, as well as data obtained while browsing, attending or participating in events organised or sponsored by ROVI. In any case, we shall only process the personal data provided for the purposes indicated in this Privacy Policy.

Unless expressly indicated to the contrary, all the personal data requested on the forms provided on the Web Page for the collection of data must be provided as they are essential and if you do not provide them we will not be able to deal with your query, manage your registration or guarantee the correct functioning of the Web Page. Therefore, Users must complete the fields marked as "mandatory" in the forms of the different Web Pages, otherwise it may be impossible to provide the requested service or the Web Page may not function correctly.

In the event of providing data from third parties, the User who provides such data guarantees that they have been obtained and provided to ROVI after having been informed and authorised by the owners of said data, in accordance with data protection regulations. In this respect, the User shall hold ROVI harmless from any liability deriving from failure to comply with this warranty.

The User confirms and warrants the truthfulness and accuracy of the data provided, and that these data are in accordance with their current status. In this regard, the User undertakes to notify ROVI of any changes that may occur in the data provided, in accordance with the procedure established in section seven of this Privacy Policy.

  1. For what purpose do we process your personal data? What is the lawful basis for the processing of personal data?

The processing of personal data will vary depending on the Website you use, as each one acts independently and not all of them have the same functionalities or offer the same services.

Websites of Scientific and Professional Events and Meetings:

  • ROVI will process the data of Users to the various scientific and professional meetings organised and/or sponsored by the Company for the following purposes:

  • To allow access to the web site and its contents, and if necessary, to manage the registration to scientific and professional events.
  • To manage the attendance of the same, including attendance certificate issuing, if applicable.
  • To manage the broadcast of the meetings via streaming. In case the streaming broadcast is carried out through an external provider that integrates the video service in the website of the relevant event, your data will be processed for the purpose of enabling such broadcast.
  • The participation of the Attendees in the event (televoting and/or questions and/or queries) as well as the evaluation of the quality of the event by means of surveys.

The lawful basis for the processing of this data is the consent provided by the User when completing their registration freely and under their discretion, as well as ROVI's legitimate interest in replying to the queries submitted by the Attendees.

  • We also inform you that your data will be processed for analytical and statistical purposes in order track how Users interact with our website and, in particular, to track the time spent actively connected to each of our webinars. The lawful basis for this processing is the legitimate interest in knowing the traffic/usability data of the web site, as well as for the purpose of issuing the certificate of attendance of attendees to the professional scientific meetings organised by ROVI.

  • Likewise, based on its legitimate interest, ROVI will send Attendees electronic communications related to the event or events for which they have registered. ROVI will send electronic communications related to future events organised or sponsored by ROVI, in case the Attendee consents such sending by ticking the corresponding box.

  • Likewise, your data will be treated in order to send you marketing information on the medicines manufactured, imported, distributed or promoted by Rovi or other companies belonging to its Group, as well as on courses, presentations, congresses or other events organised or sponsored by said entities or by others. This information may be sent using any means, including electronically.

On the basis of the information provided, marketing profiles may be drawn up, in order to provide you with information on the products, services and activities best suited to your professional activity or interests. We inform you that, through the data collection form, we will be asking you for your e-mail address. This e-mail address maybe used subsequently to send ROVI’s marketing communications, as stated above, provided that the data subject gives his or her consent.

The lawful basis for processing your data is the consent that is requested of you, which you may revoke at any time

  • In the event that the Attendees provide their data as part of the presentation of clinical cases or competitions organised at ROVI, the data will be processed in order to manage their participation, which may include the awarding of prizes and the publication of their data on the website, on social networks, or in any media used by ROVI for the purpose of advertising the competition and, where appropriate, the winner(s) and for transparency purposes. The lawful basis for the processing of the data is the explicit consent granted by the participants who take part in the competition organised by ROVI, through the explicit acceptance of the competition rules.

  • To manage the check-in of healthcare professionals at the hotels where they will be staying as a result of their attendance to the corresponding event. The provision of the data for this purpose is mandatory, otherwise your data will not be communicated to the corresponding hotel in order to manage the check in and arrange the reservation of a room.

The browsing of the Website shall not imply the processing of Users' personal data, except for those relating to their IP or MAC address (in the event of access with a mobile device) and data relating to browsing, for the purpose of managing and optimising the Website, as well as to preserve the security and integrity of the latter. This processing is based on ROVI's legitimate interest in guaranteeing the proper functioning of the web page and the security of the network and information.

  1. For how long will we process your data?

Personal data collected for the purpose of dealing with an application or request for a specific procedure will be kept for the time necessary to deal with said application or request.

On the other hand, personal data collected as a result of registration on the Website shall be processed until said registration is deregistered, either at the request of the User or as a result of the termination of the relationship between the User and the Company.

Also, personal data treated to send electronic communications, marketing information or to create marketing profiles based on your consent may be kept indefinitely until, where applicable, you notify us that you wish to erase them or we become aware that you have ceased your professional activity.

 

Finally, personal data collected through the Web Page as part of a ROVI event shall be kept for as long as is necessary to manage your registration, attendance and participation in said ROVI event.

Once the aforementioned periods have elapsed and all the necessary actions have been taken to manage and terminate any remaining obligations between the parties, the personal data shall be deleted. Without prejudice to the foregoing, the data shall be kept duly blocked for as long as any liability may arise from the obligations entered by Rovi.

  1. To whom will your data be communicated?

ROVI may communicate your personal data to the Public Authorities, regulators or governmental or jurisdictional bodies when obliged to do so by law, local regulations or in compliance with regulatory obligations. Likewise, within the framework of events and professional scientific meetings sponsored by ROVI, your data may be communicated to the entities sponsored in each case.

Apart from the aforementioned data communications, ROVI collaborates with certain third-party service providers who have access to your personal data and who process the aforementioned data in the name and on behalf of ROVI as a result of the provision of services.

ROVI follows strict criteria for selecting service providers in order to comply with its data protection obligations, and the corresponding data processing contract is signed with them.

  1. Are there international data transfers taking place?

ROVI may have third party collaborators or service providers located outside the territory of the European Union or the European Economic Area (EEA). In such cases, ROVI adopts the appropriate legal warrantees to enable such transfers to be carried out in accordance with current data protection regulations. You may obtain a copy of the measures demanded by ROVI by contacting the Data Protection Delegate.

  1. What are your rights when you provide your data to us?

Users may exercise their right of access to personal data, as well as request the rectification of inaccurate data or, where appropriate, its deletion. They may also request the limitation, portability and opposition to the processing of their data.

Likewise, the User has the right to revoke, at any time, the consent, if any, given, without this affecting retroactively the processing of personal data carried out up to that time.
